2. Personal Information We Collect

We collect the following categories of personal information depending on how you use Bellobi:

  • Account information, such as name, email address, password hash, account identifiers, authentication tokens, Google sign-in identifiers, admin status, and account settings.
  • Phone information, such as your mobile number, called numbers, transferred numbers, country and number validation data, and phone metadata.
  • Calling compliance information, such as consent confirmations, recipient objections, revocations, do-not-call or suppression requests, restricted-number checks, call blocking signals, traceback or carrier complaint information, and records we use to prevent unlawful or unwanted calls.
  • Task and call content, such as task names, task descriptions, task parameters, call instructions, call audio, transcripts, summaries, missing context fields, call reports, feedback, refund reasons, and live call events.
  • Call metadata, such as call status, start time, end time, duration, scheduled time, queue state, destination number, provider call IDs, provider cost, and call outcome.
  • Billing information, such as Stripe customer IDs, checkout records, plan type, subscription IDs, renewal dates, extra-minute purchases, payment status, invoices, refund requests, and billing portal activity.
  • Device, log, and security information, such as IP address, browser information, session cookies, request logs, webhook logs, error logs, audit data, and abuse-prevention signals.
  • Support and communications, such as emails, privacy requests, account deletion requests, legal requests, and other messages you send to us.
  • Waitlist information, if you submit it, such as email address, country, and your request to receive a global-availability notification.

Some information may be considered sensitive personal information under state privacy laws, including account credentials, payment-related identifiers, call audio, communication contents, and any sensitive information you choose to include in a task or call. Bellobi is not intended for protected health information, government identifiers, payment card numbers, credentials, or similarly high-risk sensitive data.

3. Sources Of Personal Information

We collect personal information directly from you, from your use of Bellobi, from call recipients during calls you request, from Google when you use Google sign-in, from Stripe when you use billing features, from Vapi and related voice providers when calls are placed, and from service providers that help us operate, secure, debug, and support the service.

4. How We Use Personal Information

We use personal information to:

  • Create, authenticate, secure, maintain, and delete accounts.
  • Create tasks, place and schedule calls, transfer calls, stream live call status, generate transcripts and summaries, evaluate call outcomes, and display call history.
  • Validate phone numbers, block restricted destinations, enforce calling policies, investigate abuse, and prevent fraud or unlawful calls.
  • Maintain suppression, do-not-call, objection, revocation, and abuse-prevention records where needed to honor recipient requests, prevent future unwanted calls, respond to carriers or regulators, and document compliance.
  • Process subscriptions, extra-minute purchases, invoices, payment status, billing portal access, paid-plan usage resets, and refund requests.
  • Send account, confirmation, reset-password, billing, support, legal, and service communications.
  • Send product updates, launch notices, offers, and other marketing communications where permitted by law.
  • Debug errors, monitor reliability, secure systems, maintain logs, and improve the quality and safety of Bellobi.
  • Comply with law, enforce our Terms, respond to legal process, and protect rights, safety, and property.

We do not sell your personal information. We do not share your personal information for cross-context behavioral advertising. We do not use your call content to train Bellobi-owned AI models. Based on our current provider settings and agreements, our AI service providers are not permitted to use your call content to train their models.

We use sensitive personal information only as reasonably necessary to provide and secure Bellobi, process transactions, detect abuse, comply with law, or as otherwise permitted by applicable privacy laws.

5. Marketing Communications

We may send product updates, launch notices, offers, newsletters, surveys, or other marketing emails where permitted by law. You can opt out of marketing emails by using the unsubscribe link where provided or by contacting us.

Commercial emails we send are intended to identify Bellobi as the sender, avoid misleading header or subject information, include our postal address, and provide a functioning opt-out method where required. We aim to honor marketing-email opt-out requests within the time required by law.

Even if you opt out of marketing emails, we may still send transactional or service messages, such as account, security, billing, legal, support, and call-related notices. We do not send SMS marketing.

6. AI And Voice Processing

Bellobi uses third-party AI, voice, transcription, and telephony providers to process call instructions, call audio, transcripts, summaries, speech recognition, generated voice, phone routing, and call analysis. This processing is necessary for the service to place and manage AI-assisted phone calls.

Third-party AI, voice, transcription, telephony, hosting, logging, and infrastructure providers process information under their applicable service terms, privacy policies, data-processing terms, retention settings, and agreements with Bellobi. We configure our providers to minimize retention where available. However, providers may still retain limited data, logs, metadata, or artifacts as needed to provide, secure, debug, audit, comply with legal obligations, or maintain their services, unless our settings or agreements with them require different handling.

Regular calls may create provider-side and Bellobi-accessible call artifacts, including recordings, transcripts, call logs, and analysis. Bellobi retrieves call artifacts through authenticated provider APIs and short-lived download URLs where supported.

Incognito Mode is designed not to save reusable task data, recordings, or transcripts in Bellobi. Incognito calls still require live processing by Bellobi and its providers, and we may retain call metadata, summaries, billing records, security records, and legal or operational records.

7. Cookies And Similar Technologies

We use cookies and similar technologies for login sessions, security, CSRF protection, preferences, and basic operation of the website. We do not currently use third-party behavioral advertising cookies on Bellobi.

Because these cookies are used to provide the service and protect accounts, disabling them may prevent Bellobi from working correctly.

8. How We Disclose Personal Information

We disclose personal information to:

  • Voice, AI, transcription, text-to-speech, telephony, and call infrastructure providers that place, process, analyze, store, or route calls.
  • Payment processors and billing providers, including Stripe, for checkout, subscriptions, invoices, customer portal sessions, fraud prevention, and refunds.
  • Authentication providers, including Google, when you choose Google sign-in.
  • Hosting, database, email, logging, monitoring, security, and support providers that help operate Bellobi.
  • Professional advisers, auditors, insurers, law enforcement, regulators, courts, or other parties when needed for legal, safety, compliance, or rights-protection purposes.
  • Successors or potential successors in a merger, financing, acquisition, reorganization, bankruptcy, or sale of assets, subject to appropriate confidentiality protections where applicable.

When you start a call, information needed for that call is disclosed to the call recipient through the assistant's speech and any transfer you initiate.

9. Service Providers And Subprocessors

Bellobi's current service-provider categories include:

Provider or category Purpose

10. Retention

We retain personal information for as long as needed to provide Bellobi, maintain security, comply with law, resolve disputes, enforce agreements, process billing, support refunds, maintain backups, and operate the service.

Data Typical retention
Account and profile information Until account deletion or until legal, security, billing, backup, or operational retention no longer requires it.
Tasks and task parameters Until you delete the task, delete your account, or we remove it under policy or legal requirements.
Regular call records, transcripts, recordings, summaries, and analysis Until you delete the call record or account, subject to provider retention, backup, legal, security, and billing limits.
Incognito calls Reusable task data, recordings, and transcripts are not stored in Bellobi; summaries, metadata, billing, security, provider, and legal records may remain.
Billing, checkout, subscription, invoices, and refund records As required or appropriate for tax, accounting, chargeback, fraud prevention, legal, and compliance purposes.
Security logs, abuse records, and legal records As long as reasonably needed to protect the service, investigate abuse, comply with law, or enforce our Terms.
Recipient objections, revocations, do-not-call requests, suppression records, and compliance evidence As long as reasonably needed to honor the request, prevent future unwanted calls, document compliance, respond to regulators, or defend legal claims.

11. Deletion

You can delete individual call records from call history, delete tasks, and request or perform account deletion from settings. For regular calls, Bellobi attempts to delete associated provider call logs before deleting the local call record where provider APIs support deletion.

To remove call-specific data, delete the relevant call records from your call history.

Deleting a task removes the reusable task and its task parameters, but does not delete past calls made from that task. Past calls may remain in call history and may no longer show the deleted task's details.

If your account has an active paid Stripe subscription, you must cancel the subscription first and wait until it is no longer active before account deletion can be completed.

When account deletion is completed, Bellobi deletes your local account profile, authentication records, saved tasks, task parameters, local call history, regular call transcripts, regular call recordings, regular call summaries, and regular call analysis, except for the limited records described below. For regular calls, Bellobi also attempts to delete associated provider call logs before deleting the local call record where provider APIs support deletion.

After account deletion, we may retain limited information where needed for billing, tax, accounting, chargebacks, refunds, fraud prevention, security, abuse prevention, legal compliance, dispute handling, backups, vendor or provider retention, legal holds, Terms enforcement, recipient objections, consent revocations, do-not-call requests, suppression records, or other compliance evidence. Provider systems may also retain limited logs, metadata, or artifacts under their own terms, retention settings, legal obligations, or agreements with Bellobi.

12. Your Privacy Rights

Depending on where you live, you may have rights to access, confirm, know, port, correct, delete, or obtain a copy of personal information; to opt out of sale, sharing, targeted advertising, or certain profiling; to limit certain sensitive-information uses; and to appeal a decision about a privacy request.

Bellobi does not sell personal information or share personal information for cross-context behavioral advertising. To exercise privacy rights, email legal@bellobi.com. We will respond as required by applicable law. You may use an authorized agent where applicable law allows it, but we may require proof of authorization and may ask you to verify your identity directly.

We will not discriminate against you for exercising privacy rights, but some information is needed to provide Bellobi. If you ask us to delete information required for account operation, billing, or calls, the service may no longer function for you.

We aim to respond to verified privacy requests within the time required by applicable law. Where permitted, we may deny or limit a request if we cannot verify it, if an exception applies, if fulfilling it would reveal another person's information, if the request is excessive or abusive, or if we must retain information for security, fraud prevention, billing, legal, or operational reasons. If we deny a request, you may appeal by replying to our decision email or contacting legal@bellobi.com with "Privacy Appeal" in the subject line.

13. Notice At Collection And State Privacy Notice

If a state consumer privacy law applies to your information, including the California Consumer Privacy Act as amended, this policy serves as our notice at collection and privacy notice. It describes the categories of personal information and sensitive personal information we collect, the sources of that information, the purposes for collection and use, the categories of third parties to whom we disclose information, retention practices, and your rights.

We do not sell or share personal information as those terms are used for cross-context behavioral advertising under California law. We do not process personal information for targeted advertising. We do not use sensitive personal information for purposes that require a right to limit, except as needed to provide Bellobi, secure it, comply with law, or as otherwise permitted by law.

14. Recipients And Third Parties In Calls

Call recipients and other people who participate in calls may have personal information processed by Bellobi because a user requested a call. If you received a Bellobi call and want to ask questions, object to future calls, or make a privacy request, contact us at legal@bellobi.com with the phone number, approximate date and time of the call, and any information that can help us locate the call.

If you ask not to receive future Bellobi calls, we may retain limited information, such as your phone number, request details, dates, related account or call identifiers, and compliance notes, to maintain a suppression record and honor your request. We may also notify the user who requested the call when needed to honor your request, investigate misuse, or comply with law.

15. Children

Bellobi is not directed to children and may not be used by anyone under 18. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to Bellobi, contact us and we will take appropriate steps to delete it.

16. Security

We use administrative, technical, and organizational measures designed to protect personal information. No service can guarantee perfect security. You are responsible for keeping your account credentials secure and for promptly telling us if you suspect unauthorized access.

If we learn of a security incident that legally requires notice, we will provide notice as required by applicable law.

17. United States Only

Bellobi is intended for users in the United States and for calls placed in compliance with United States law. Personal information may be processed in the United States and other locations where our providers operate.

18. Changes To This Policy

We may update this Privacy Policy from time to time. The effective date above shows when it was last updated. Material changes will be posted in the service or on this page. Continued use of Bellobi after an update means the updated policy applies.
